So what’s the process in putting together and running a trip?

The process may look fairly long, but we can assure you that the ACTS admin staff are full of ideas and advice should you not be familiar with the country to be visited. We often find that the first team that a group sends involves many emails as there are so many questions that need to be answered. With those that we have worked before, far less correspondence is required.

  1. Team leader, or missionary communicates their intention to do a possible trip.
  2. ACTS immediately emails back with a number of relevant questions. (Group size estimate, trip length, start and end point, budget, accommodation style, nature of trip, places to be visited, etc)
  3. Team leader / missionary answers the questions as fully as possible. We understand that there are often a number of unknowns such as the exact number of people.
  4. ACTS responds with a proposed itinerary and costing. This usually takes 24 hours unless there are communication problems. This is not a final itinerary, but a starting point from which we can make adjustments.
  5. Communication back and forth to iron out details.
  6. With about 8 weeks to go, ACTS sends an invoice as well as pre-departure information. The pre-departure information includes details on what to bring, security, health, what to expect, the role of the crew, etc.
  7. Team leader, or organization makes payment on behalf of the group
  8. Team arrives. Day one includes a thorough welcome, further briefing and country orientation.
  9. 'Enjoy the African expedition...'
  10. Team departs having completed response forms
  11. Follow up on response forms
